How to convert a scanned PDF to editable Word

A scan needs OCR before its words can become editable, and both recognition and layout require review.

OCR and Word conversion are separate stages

A scanner usually stores each page as an image. OCR estimates the characters and positions in that image, while Word conversion reconstructs document elements from the PDF. Separating the stages makes it easier to identify whether an error came from recognition or layout conversion.

Clear body text is the easiest case. Handwriting, decorative fonts, faint carbon copies, complex tables and multiple columns need more manual correction.

Review the facts before the formatting

Correct content errors first: names, account numbers, dates, decimal points and negative signs. Then repair headings, paragraphs, columns and tables. A polished layout with an incorrect number is more dangerous than an obvious formatting issue.

  • Compare every critical number with the image.
  • Use Word styles after the text is correct instead of manually spacing lines.
  • Retain the scanned source as the visual record.
